This policy explains how Novanix AI LLC (“Novanix AI LLC”, “we”) handles information in Tendly, its aftercare text messaging service for aesthetic and cosmetic practices. It applies to heytendly.com, the Tendly application at app.heytendly.com, and the text messages Tendly sends on behalf of practices.
Our role: a service provider to healthcare practices
Tendly is a service provider to healthcare practices. Patient data is controlled by the subscribing practice, not by Tendly.
In plain terms: your practitioner's office decides which patients are enrolled, writes and approves every message that goes out, and remains the custodian of your medical record. Tendly is the software that stores that information and delivers those messages at the right time, under a written agreement with the practice. We do not decide what is sent to you, and we do not use your information for our own purposes. If you want your information corrected or deleted, contact your practitioner's office; we act on the practice's instruction.
Text messaging and your mobile information
Mobile information collected from users who opt in to receive text messages from Tendly will not be shared with or sold to third parties or affiliates for marketing or promotional purposes. Tendly may share information with service providers who assist in delivering the messaging service.
The service providers referred to above are limited to the vendors needed to operate the service — our SMS carrier and our cloud hosting and database provider. They act on our instructions, are bound by written agreements, and may not use your information for their own marketing. Tendly does not sell personal information, and does not send marketing or promotional text messages of any kind.
What we collect, and why
Tendly deliberately collects the minimum needed to deliver timed aftercare messages from your practitioner. From the practice, we receive:
- Your name — so practice staff can identify you in the Tendly dashboard.
- Your mobile phone number — so the aftercare messages can be delivered to you.
- Your procedure type — so the correct aftercare protocol, approved by your practitioner, is used.
- Your appointment date and time — so each message arrives at the right point before and after your procedure.
- Your consent record — the date and time you agreed to receive text messages, and any later opt-out.
We also store the messages sent to you, their delivery status, and any reply you send back to the Tendly number, so the practice can see and respond to it. We do not collect payment details, government identifiers, or location data, and the service does not use tracking or advertising cookies.
How we use it
Information in Tendly is used only to deliver and support the aftercare messaging service for the practice that provided it: scheduling and sending approved messages, honoring opt-outs, showing the practice its own patients and replies, keeping an audit trail of what was sent, and securing and troubleshooting the service. We do not use it for advertising, do not sell it, and do not share it between practices — each practice can see only its own patients' information.
How long we keep it
Tendly retains treatment messages and patient replies for seven years, consistent with Texas medical-record retention requirements and the subscribing practice's own record-keeping obligations. The practice may request deletion of a patient's data at any time, and we complete verified deletion requests within 30 days. When a practice closes its account, its data is deleted or returned at the practice's direction. Consent and opt-out records are kept for as long as needed to prove we honored an opt-out, even after other data is removed.
How we protect it
Information is encrypted in transit and at rest. Access is restricted to authorized staff of the practice and to the small number of Novanix AI LLC personnel who operate the service; practice accounts require multi-factor authentication. Text messaging is a convenient but not fully secure channel — messages can be read by anyone with access to your phone, and are delivered over your carrier's network. That is why aftercare messages are kept brief and general, and why we ask for your consent before sending any.
Your choices
You can stop messages at any time by replying STOP to any Tendly message. You will receive a single confirmation and no further messages. Reply HELP for support information, or contact your practitioner's office directly. For access to, correction of, or deletion of your information, contact your practitioner's office — they control the record. You may also write to us at the address below and we will route your request to the practice.

Children
Tendly is not directed to children under 13, and we do not knowingly collect their information. Where a practice provides care to a minor, the messaging is arranged with the parent or guardian.
Changes to this policy
If this policy changes materially, we will update the “Last updated” date above and notify subscribing practices. Continued use of the service after an update means the updated policy applies.
